Services: Foundations; CRM Configuration; Data Cleanup; Email Platform Migration; Bloomerang Fundraising Integration
The Challenge
After completing their migration to Bloomerang CRM, AsylumWorks realized that fully leveraging the system required strategic configuration and a deeper understanding of the platform’s capabilities. They needed guidance to clean up and organize their data to align with Bloomerang’s internal systems, restructure their gift management categorization framework, implement a clear framework for tracking donor cultivation, and transition from Mailchimp to Bloomerang’s built-in email management tools. This realization led them to engage Toccata for expert support.
The Solution
Assessed AsylumWorks’ communication strategy and recommended consolidating email efforts within Bloomerang. Guided the transition from Mailchimp by defining audiences and interests, organizing constituent data, and establishing governance practices to support ongoing data integrity.
Provided guidance and hands-on support to clean, organize, and structure AsylumWorks’ data, aligning it with Bloomerang’s internal systems and restructuring their gift management categorization framework for consistent, accurate reporting and analysis.
Designed and configured a donor cultivation framework within Bloomerang, establishing clear structures and workflows for tracking moves, tasks, and relationship activity.
Strategically rebuilt donor-facing fundraising forms in Bloomerang Fundraising (formerly Qgiv), configuring custom fields and integrations with Bloomerang CRM to ensure consistent data capture, alignment with reporting needs, and long-term scalability.
The Outcome
What started as a basic CRM implementation is now a connected, intentional fundraising system. AsylumWorks has eliminated redundant tools, gained clarity around donor engagement, and established reliable workflows for tracking cultivation, sending emails, and processing gifts. Their data is cleaner, their systems are easier to manage, and their fundraising team is equipped to make informed, strategic decisions.
